1. Who we are
This policy explains how the Discord bot Booversum and the website booversum.com (including the dashboard) handle personal data.
Responsible for the processing: the Booversum team. Contact for privacy questions: our support server discord.gg/booversum.
2. What data we process
Discord account data
- Your Discord user ID, username, display name and avatar
- The IDs and names of servers, channels and roles the bot works with
Activity data (for levels, leaderboards and statistics)
- How many messages you sent and how many minutes you spent in voice, streaming or with your camera on – counts only, not the content of your messages
- Your XP, levels, badges and leaderboard positions per server and globally
- Per server and hour: total numbers of messages and voice minutes, and joins and leaves per day (for server statistics)
Invites and membership
- Who invited whom, which invite was used, when a member joined and when they left
Moderation
- Warnings, moderation actions and their reasons
- When the anti-spam system removes a message, up to 500 characters of that message are kept in the server's moderation log so moderators can review the action
- If a server uses message logs, edited or deleted messages are posted to that server's own log channel. We do not store them ourselves.
Content you or server admins create
- Suggestions you submit with
/suggest, giveaway entries, counting game statistics - Tickets: when a ticket is closed, its messages (author name, avatar link, text, attachment links and the time) are saved as a transcript, together with your answers to the ticket form. The server's admins can read it in the dashboard; it is also posted to the server's ticket log channel and, if the server enables it, sent to you by DM
- Settings, texts and images uploaded by server admins in the dashboard (for example welcome and level-up card backgrounds)
- A rank card background you upload as a Premium user
Dashboard login
- When you log in with Discord, we receive your basic profile and the list of your servers (Discord scopes
identifyandguilds). This is used to show you the servers you can manage. - Your login session is stored on our server and ends after 2 hours at the latest. The access token Discord gives us at login stays only on our server; we use it every few minutes to check that you still have the rights to manage a server, and it is revoked when you log out.
Premium
- Purchases are handled entirely by Discord. We only see whether you or a server have an active Premium subscription – never any payment details.
Message content
The bot reads message content only where a feature needs it: the counting game (to read the number), anti-spam and auto moderation (to detect spam and filtered words), message logs (described above) and ticket transcripts (described above). Message content is not stored, except in the moderation and ticket cases described above.
3. Why we process it
- To provide the bot's features you and your server use (leveling, invite tracking, welcome messages, moderation, statistics, the dashboard)
- To protect servers against spam and abuse
- To keep the bot running reliably (error logs)
If you are in the EU, the legal bases are Art. 6(1)(b) GDPR (providing the service you use) and Art. 6(1)(f) GDPR (our and the server owners' legitimate interest in a safe, working community).
4. How long we keep it
| Data | Kept for |
|---|---|
| Invite log (who joined through which invite) | 35 days |
| Daily activity per member, hourly and per-channel server statistics, joins/leaves per day | 90 days |
| Moderation log entries | the latest 200 entries per server |
| Ticket transcripts (the messages of a closed ticket) | 180 days after the ticket was closed |
| Dashboard login session | up to 2 hours |
| Levels, XP, badges, settings and other server data | as long as the bot is on the server, then 21 days after it is removed, or until deletion is requested |
When the bot is removed from a server, that server's data is kept for 21 days, so settings and levels are still there if the bot is added back in that time. After 21 days all data of that server is deleted automatically. Global levels (counted across all servers) belong to the user, not to a server, and stay. Server owners can ask us to delete their server's data earlier at any time (see section 9).
5. Who we share it with
We do not sell data and do not share it for advertising.
- Discord – the bot works through Discord's platform; Discord's own privacy policy applies there
- Hosting providers – the bot, the website and the database run on rented servers; the providers process the data only on our behalf
Public parts such as leaderboards and profile pages show usernames, avatars, levels and statistics to anyone who opens them.
6. Cookies and local storage
The website only uses a session cookie that keeps you logged in to the dashboard, and your browser's local and session storage for small preferences (for example whether the sidebar is collapsed or a notice was closed). There are no advertising or tracking cookies. Fonts are loaded from Google Fonts and charts from a public CDN; your browser connects to them directly.
7. Security
We use reasonable technical and organisational measures to protect your data: encrypted connections (HTTPS, encrypted database connections), access only for authorised people, two-factor authentication on our accounts, regular checks of permissions in the dashboard and restricted access to the database. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
If a security incident affects personal data and is likely to put your rights at risk, we will inform the responsible data protection authority within 72 hours where required by law, and inform affected users and server owners without undue delay, for example in our support server.
8. Server admins
Server admins decide which Booversum features are active on their server and how they are set up (for example whether message logs, moderation or welcome messages are used). Please contact the admins of a server if you have questions about how Booversum is used there.
9. Your rights
You can ask us at any time to tell you what data we have about you, to correct it or to delete it, and to restrict or object to its processing. If you are in the EU you can also complain to a data protection authority.
To make a request, contact our support server discord.gg/booversum. Server owners can request the deletion of all data of their server the same way.
10. Children
Booversum is meant for people who are allowed to use Discord under Discord's Terms of Service (at least 13 years old, or older where local law requires it).
11. Changes
We may update this policy when the bot changes. The date at the top shows the latest version. Important changes are announced in our support server.
